This policy explains what the Your Company field app and our online quote and booking pages collect, why, and who it is shared with. Both are operated by Nielson Management Services LLC ("we", "us").
Who the app is for
The app is a work tool for our technicians and office staff. It is used to run gas inspections, maintenance visits and equipment proposals at our customers' homes and businesses, and to send the resulting reports. Only people we have given an account can sign in. It is not intended for children.
The online quote and booking pages (schraerhvac.com/quote, linked from our websites) are for homeowners: they give an instant estimate for a new heating and cooling system and let you request a home visit, a tune-up or a repair. No account is needed.
What we collect
- Staff accounts: name, email address, and either a password (stored only as a one-way hash, never in readable form) or, if you use Continue with Google, your Google account identifier and email. We keep sign-in sessions so you stay signed in.
- Visit records: the customer, property and job details from our scheduling system (names, addresses, phone numbers and email addresses of homeowners, buyers, real estate agents and inspection companies), and what the technician records: equipment details, readings, findings, notes, recommendations, prices and photos.
- Photos: the app uses the camera and photo library only when you choose to add a photo, such as equipment, nameplates, findings or a tool's display.
- Location: the app does not use your device's location. It looks up the property's address to fill in addresses and the outdoor temperature at the property.
- Online quote and booking requests: your name, phone number, email address, property address, your answers about your home and system (home type, system type, size, where the equipment is, fuel, timeline), the prices shown, the option you picked and the visit time you asked for. We save your answers as you go, so if you stop part-way we may still call or text you about your quote. Your browser keeps your answers and a private link to your quote so you can come back to it.
- Home size: after you enter your address, we look up your home's living area in public property records to size the system.
- Analytics on the quote pages only: the quote and booking pages may use Google Analytics to count visits and see which steps people complete (for example, that a quote was finished). It uses cookies; you can block them in your browser. The field app itself has no analytics.
- No advertising: there are no ads, and we don't sell or share your information for advertising. Our hosting provider keeps routine server logs (such as errors) to keep the service running.
How we use it
- To carry out and record each visit, and to produce its report or proposal.
- To email the report to the people the technician confirms at submit (for example the customer, the agent and our office).
- To keep our customer records current in our field service system (equipment, findings and estimates).
- To answer quote, tune-up and repair requests: we send them to our scheduling system, email our office and send you a confirmation, and call or text you about your request.
- To keep the app and pages secure and working.
We do not sell personal information, and we do not use it for advertising.
Service providers
We use these companies to run the app. They handle the data only to provide their service to us:
- Cloudflare: hosting, the database, photo and file storage, and making report PDFs.
- ServiceTitan: our scheduling and customer records system. Jobs, customers and equipment come from it; equipment, findings, estimates and report files are written back to it; and online quote and booking requests are sent to it.
- Resend: delivers report emails and quote and booking confirmations.
- RentCast: looks up a home's living area from public property records (only the address is sent).
- Google Analytics: visit counts on the quote and booking pages only.
- Anthropic: reads photos of equipment nameplates and tool displays (and, when asked, an earlier report) to fill in fields for the technician. Photos are sent through Anthropic's business API, under terms that do not allow them to be used to train its models.
- Google Maps Platform: address lookup and validation, in the app and on the quote pages. If Continue with Google is used, Google handles that sign-in.
- YouTube: if you play the video on your quote page, it plays from YouTube (privacy-enhanced mode).
- U.S. National Weather Service: the outdoor temperature near the property (only its map coordinates are sent).
Report and quote links
Each report email, and each quote confirmation, includes a private link to the report or quote. The link is long and random, but anyone who has it can open the report, so share it only with people who should see it.
Data on the device
So that no work is lost where the signal is weak, visits and photos are saved on the device until they reach our server. Uploaded photos are removed from the device about a week after the visit is submitted; they remain available from the server.
How long we keep it, and your choices
We keep visit records and reports as business records for as long as we need them for service history, warranty and legal reasons. To ask what we hold about you, or to correct or delete it, email privacy@fieldcopilot.co or contact us below. Staff accounts are removed or deactivated when they are no longer needed.
Security
All connections use encryption (HTTPS). Passwords are stored only as hashes. Visit records and quote requests are available only to signed-in staff, and administration is limited to administrator accounts.
Changes
If we change this policy, we will update it here and change the effective date above.
